Role Overview

We are seeking a full-time Practice Manager to oversee daily operations and manage specific administrative functions for 4 primary care sites at the following locations:

  • 111 Norfolk Ave, Walpole, MA - Family Medicine
  • 959 Main Street, Suite 205, Millis, MA - Family Medicine
  • 307 West Central Street, Natick, MA - Adult Internal Medicine
  • 727 Washington Street Wellesley, MA - Wellesley College Health Services (Primary Care)

Reporting to the Administrative Director, Primary Care, responsibilities for our Practice Manager include strategic planning, program development, clinical and operational quality improvement, and financial/budget reporting and monitoring. This Practice Manager would oversee a team of approximately 40 staff members and will require frequent travel to the 4 sites.

Other Responsibilities Include:

  • Understanding how all staff positions function and actively participates in the daily operation of the practice as appropriate. Providing assistance to the support staff to ensure the practice runs smoothly for clinical providers and patients.
  • Managing personnel related activities, including recruitment and onboarding of new staff, scheduled hours, attendance, time off requests, leaves of absence, discipline and discharge documentation, evaluations, and overtime.
  • Engaging and actively working to develop staff to reach their highest potential and meet professional goals. Supporting staff in efforts to improve operations, as well as individual and team performance.
  • Supervising the daily operation of the practice, including helping staff establish deadlines for work assignment and completion and monitoring work status and progress.
  • Working closely with the Professional Billing Office, Billing Compliance, Patient Service Center, and other professional teams within NWH, NWAS, and MGB to ensure appropriate and compliant documentation, billing, and charging practices.
  • Developing enhanced workflow mechanisms and procedures to increase office efficiency and assisting staff in understanding and implementing organizational policies and procedures.
  • Managing expenses, maintaining an internal purchasing system, ensuring proper supply inventories, preparing and executing purchase orders, remitting payment for invoices in a timely fashion, and ensuring responsible spending to meet (or exceed) budgeted goals.
  • Compiling and presenting reports on practices' metrics, including but not limited to provider schedule utilization and productivity, staff payroll, timekeeping and attendance, practice revenue and expenses. When appropriate, implementing changes informed by data from a variety of sources to systems or processes.
  • Ensuring office staff treats all patients and visitors as they would a beloved family member, consistent with the hospital's mission. Promoting a customer service orientation and positive culture among staff members.
  • Ensuring that all patient care-related administrative functions are completed in a compliant, efficient, and timely fashion, partnering with other subject matter experts as needed. This includes, but is not limited to, scheduling, care coordination, medical records requests, billing and registration inquiries, and referral management.
  • Addressing patient care-related issues or complaints in an effective and transparent manner, communicating lessons learned to prevent repetition of prior errors.
  • Facilitating smooth practice operations for own practices, as well as other specialties that may cohabitate in the same or proximal physical locations.
  • Performing other duties as assigned by Administrative Director, hospital leadership, and clinical staff, and must be willing to take on additional responsibilities and provide assistance in all areas as needed.
  • In collaboration with 3 Medical Directors, working with NWMG leadership in overall strategic planning for their practices including short- and long-term growth plans, as well as Performance Improvement Initiatives along with fiscal, personnel, and space requirements.
  • In collaboration with the Administrative Director, developing annual operating and capital budgets and actively monitoring performance.
  • Coordinating and developing educational programs for support staff as needed.
Qualifications

Education

  • Bachelor's degree in health or business administration required.
  • Master's degree and/or years of relevant work experience preferred.

Experience

  • Minimum of 2-5 years of healthcare management experience required.

  • Knowledge of organization policies, procedures, and systems
  • Knowledge of health care administration practices / government and reimbursement regulations and requirements/HIPAA/OSHA regulations
  • Skill in planning, organizing, delegating, and supervising.
  • Skill in gathering and interpreting data.
  • Ability to take initiative and to exercise independent judgment, decision-making, and problem-solving expertise.
