The Broad Institute is seeking a highly motivated individual to join our team as the Senior Administrative Assistant to the Director who oversees the Xavier Laboratory, the Klarman Cell Observatory (KCO), the Immunology Program and co-directs the Infectious Disease and Microbiome Program (IDMP). The primary responsibilities are to provide comprehensive administrative support to the Director across the organization, which includes multiple distinct research units. This individual will work on assignments that are complex in nature, and for which judgment, analysis, and initiative are required for resolving problems and making recommendations. This person will work independently and must be comfortable in a fast-paced, highly demanding environment.

The candidate must be able to use judgment to handle complex and confidential situations and effectively prioritize a wide variety of tasks, balancing multiple longer-term projects and goals with the immediate needs of the office. Successful candidates will have excellent communication and organization skills and ability to work within a cross-functional administrative team.

This individual will interact with all levels of the Broad Institute including senior executive leadership. The individual will also engage with representatives from philanthropic, public policy, academic, and industry sectors. This candidate should be passionate about the mission of the Broad Institute and must possess a demonstrated ability to work in a highly-demanding and fast-paced environment. Successful candidates will have excellent communication and organization skills and the ability to work within a cross-functional administrative team.

RESPONSIBILITIES

  • Provide administrative support to the Director and senior administrative support by working closely with him and the administrative team across the organization

  • Assist with coordinating operations across teams within the Xavier Lab

  • Represent the office in a professional manner, exercising judgment and discretion with regard to confidential issues and materials when responding to mail, telephone, electronic, and in-person inquiries, including addressing issues independently or making referrals, as appropriate.

  • Manage Director's records, files and/or other documents, including sensitive material.

  • Work cross-functionally helping to break down silos and coordinating with Directors of other programs/platforms to promote communication and organization.

  • Oversea projects related to finances and grants.

  • Provide administrative support for all recruiting activities.

  • Plan and coordinates meetings and special events, including catering

  • Complete travel and expense reports on a timely basis, including corporate card.

REQUIREMENTS

  • Bachelor's degree or equivalent with 6+ years of related experience

  • Strong organizational skills and attention to detail along with excellent follow through

  • Comfortable working independently as well as in collaboration with the Administrative team and other administrative support across the Broad and its partner organizations

  • Ability to demonstrate discretion in handling confidential information and dealing with high-level executives

  • Ability to be flexible and prioritize work by considering its risk, importance, urgency, and potential implications

  • Ability to be to work in a fast paced, fluid and dynamic environment

  • Strong communication skills, both verbal and written; strong interpersonal skills, including the demonstrated ability to influence others and to build strong working relationships with individuals at different levels inside and outside the organization

  • Demonstrated good judgment is key, including the ability to build trust, with high integrity and discretion with confidential information

  • Strong customer service skills and excellent problem-solving skills

  • Has ability to effectively gain cooperation of others without having formal authority

  • Experience in a research setting preferred

  • Exceptional proficiency in Microsoft Word, Excel, PowerPoint, and Google Suite (Gmail, Google Calendar and Google Drive) and must be comfortable learning new software and technology
